Loyalty Points Statement Email

Samantha Brown Updated by Samantha Brown

Overview

The Loyalty Points Statement Email sends your loyalty members a recurring recap of their points activity: what they earned, what they redeemed, and their current balance. You choose whether it goes out monthly, quarterly, or both.

A regular statement keeps your program top of mind between purchases. Members who see a growing balance are reminded they have something to spend, which brings them back to your store.

Setup takes two steps:

  1. Create a Points Statement email template in Emails.
  2. Turn on the statement and pick your schedule in Loyalty > General.
How it works

Statements go out automatically on the 1st of the month, based on your account's timezone. Each one covers the period that just ended.

Setting

When it sends

What it covers

Monthly

The 1st of every month

The previous calendar month

Quarterly

January 1, April 1, July 1, October 1

The previous calendar quarter

Monthly and Quarterly

The 1st of every month

The previous month, except on January 1, April 1, July 1 and October 1, when members get the quarterly statement instead

With both turned on, members never receive two statements on the same day. On the first day of a new quarter, the quarterly statement replaces the monthly one.

The statement goes to your loyalty program members. It does not go to customers who haven't joined your program.

Good to know: if you turn the statement on partway through a month, the first email goes out on the 1st of the following month. You can't send a statement on demand.

Step 1: Create your Points Statement email
  1. Go to Emails and open the Loyalty and Reward Store Emails tab.
  2. Click Create an Email.
  3. Select Points Statement Email.
  4. Choose how to start:
    • Pre-filled template gives you ready-to-use copy with the key merge variables already in place. This is the fastest way to get started.
    • Blank template lets you build the email from scratch.
  5. Click Create.
  6. Fill in the email details:
    • Email Name: an internal name only you will see, such as "Monthly Points Statement."
    • From Name (optional): the sender name members see. If you leave it blank, we use the Company Name from your Email Sender Settings.
    • Subject Line: for example, "Your points activity {{period_label}}."
    • Text Body: a plain-text version of your email. This helps with accessibility and deliverability.
    • HTML Body: paste in your email HTML, including any merge variables.
  7. Click Preview to check how the email looks with sample data, then save.

The pre-filled template uses this copy, which you can edit freely:

Subject: Your points activity {{period_label}}

Hi {{customer_first_name}},

You earned {{points_earned}} points and redeemed {{points_redeemed}} points {{period_label}}. Your points balance is {{points_balance}}.

Tip: add a button linking to your rewards page so members can spend their points right away.

Merge variables

Copy any of these into your subject line or email body. Each one is filled in with that member's details when the email sends.

Variable

What it shows

Example

{{customer_first_name}}

The member's first name

Jane

{{customer_name}}

The member's full name

Jane Doe

{{points_earned}}

Points the member earned during the period

450

{{points_redeemed}}

Points the member redeemed during the period

200

{{points_balance}}

The member's current points balance

1,300

{{period_label}}

The period the statement covers

last month, last quarter

{{to_email}}

The member's email address

jane@example.com

{{merchant.sender_address}}

Your business address

123 ABC Street, Hometown CA, 90210

{{unsubscribe.url}}

The member's unsubscribe link

https://friendbuy.com/unsubscribe

Point values are rounded to whole numbers and formatted with commas, so a balance shows as 1,300 rather than 1300.

{{period_label}} reads naturally after a verb or at the end of a sentence, like "Here's what you earned {{period_label}}."

Step 2: Turn on the statement
  1. Go to Loyalty > General and scroll to Points Statement Email.
  2. Turn on Send a recurring points statement.
  3. Under Points Statement Email Template, select the email you created in Step 1.
  4. Turn on Monthly, Quarterly, or both. Hover over the ? next to each option to see its schedule.
  5. Click Save Changes.

You need to select a template and at least one schedule before you can save. If either is missing, you'll see a message telling you what to fix.

To stop sending statements, turn off Send a recurring points statement and click Save Changes. No further statements will go out.

Reporting

Points Statement Email performance appears in your loyalty email analytics alongside your other loyalty emails. Opens, clicks and attributed revenue are tracked the same way.

FAQ

When will my first statement go out? On the 1st of the month after you turn it on, in your account's timezone. If you turn on Quarterly only, the first statement goes out on the next January 1, April 1, July 1 or October 1.

Can I send a statement right now? No. Statements only send on their schedule. To check your design before the first send, use Preview in the email editor.

If I turn on both Monthly and Quarterly, will members get two emails? No. On the first day of a new quarter, members get the quarterly statement only.

Can I change the template later? Yes. Edit the email in Emails, or select a different template in Loyalty > General and save. Changes apply to the next scheduled send.

What if I archive the template the statement uses? It stays selected in Loyalty > General and is labeled "(Archived)" so you can see what's in use. We recommend selecting an active template.

Why doesn't a member's balance match their earned and redeemed totals? Earned and redeemed cover only the statement period. The balance is the member's total across all time, including points earned before the period and any points that expired.
